Inviting and Managing Team Members
This section will walk you through how to add new team members to your account for seamless collaboration and how to join an existing account using an invitation code. Team management is key to shared inventory, and Maxilist makes it easy.
Add Team Members to Your Account
Adding users to your account allows multiple people to access and manage your inventory together. This is perfect for businesses with multiple employees, teams, or departments that need to work on the same projects.
To invite a new user:
- Access the Users Menu: From the main navigation, go to
Settings→Users. - Invite a New User: Tap on the + or
Add Userbutton. - Enter User Details: You'll be prompted to enter the user's name.
- Set Permissions: Choose the appropriate permissions for the new user. You can define what they can view, edit, or manage within the account. This helps maintain control over your data.
- Send the Invitation: Tap
Share Invite. You will be shared a link and a unique code that can be used to join the account. Share this link with the person you want to invite. Team members can use either the link or the code to join the account.
Once the invitation is sent, the new user will appear in your user list with a Pending status until they accept the invitation.
Invitation links expire in 24 hours. Encourage users to accept the invitation within this timeframe.
There are different access levels in Maxilist:
- Viewer: Can only view items and collections. They cannot edit or delete anything.
- Editor: Can also edit and delete items and collections. Also have edit access to contacts.
- Admin: Can also manage users and view the account history. Basically all administrator access for the account.
- Owner: Has full control, including account creation and deletion.
Access level can be changed at any time for the users.
Remove a Team Member Access
To delete a team member, follow these steps:
- Navigate to
Settings→Users. - Select the user you want to delete.
- Tap the Delete button.
Join an Existing Account
If you have received an invitation to join a Maxilist account, here's how to accept it and get started.
- Create a Maxilist account: If you don't have one yet, sign up for a free account.
- Press the Invitation Link: The email contains a unique link. Simply press it and it will take you to the new account.
- Use the Invitation Code (Alternative): If the link doesn't work for any reason, you can manually enter the invitation code.
- Open the Maxilist app.
- Go to
Settings→Accounts. - Look for an option to
Join Existing Account. - Copy and paste the code from the email into the app.
Real-World Examples
For a Warehouse Manager
A warehouse manager hires a new inventory clerk. The manager adds the clerk to the Maxilist account, giving them permissions to add and edit items but not to change user permissions. The clerk receives the email, clicks the link, and is ready to start their first day with the right access.
For a Team Project
A project lead needs to add a new team member to a project they are managing within Maxilist. The lead sends an invitation. The team member, who already has a Maxilist account for their personal collection, simply signs in, and the new project account appears in their account list, allowing them to switch between personal and work projects with ease.
