What are Business and User Profiles?​

Your Business Profile is the central identity for your entire inventory account. It allows you to customize your Maxilist experience with your company's branding, including your logo and business name. It also acts as the container for your inventory data, enabling you to manage and switch between multiple separate accounts seamlessly.

A User Profile is your personal identity within a business account. It allows each individual to personalize their presence by adding their own name and a profile picture. This makes team collaboration more personal and transparent.

Why and When to Use It?​

Managing your profiles is crucial for professionalism, organization, and accountability.

  • For Businesses:
    • Reinforce Branding: Your company logo and name can appear on professional PDF reports and other exported documents, providing a consistent brand experience for your clients or partners.
    • Organize Multiple Accounts: The Seamless Multi-Account Management feature is perfect if you manage inventory for multiple businesses, departments, or projects. You can switch between accounts with ease, keeping all your data separate and organized.
  • For Users:
    • Enhance Collaboration: Adding a profile picture and name makes it easy for team members to recognize each other in the user list and to see who made a specific change in the Activity History.
    • Promote Accountability: A personalized profile makes it clear who is performing each action, which fosters a greater sense of ownership and responsibility for data accuracy.

How to Use Business and User Profiles​

Managing Your Business Profile​

  1. Access Profile: Go to the main navigation menu and Settings → Account (has your account name).
  2. Customize: Here, you can upload your company's logo and enter your business name. This information will automatically be used in professional exports and throughout the app.

Managing Your User Profile​

  1. Access Profile: Go to the main navigation menu and Settings → Profile This will open your User Profile.
  2. Customize: From here, you can change your name and upload a profile picture. Your profile picture will appear next to your name in user lists and in the Activity History log, making it easy for your team to identify you.

Real-World Examples​

For a Business Consultant​

You're a consultant who helps multiple small businesses manage their inventory.

  • Action: You add each client's inventory to a separate Maxilist account. By using the Seamless Multi-Account Management feature, you can quickly switch between "Client A Inventory" and "Client B Inventory" to make updates, without any confusion or risk of mixing data.

For a Team Manager​

You've just onboarded a new team to manage your warehouse inventory.

  • Action: You ask each team member to set up their user profile with their name and a profile picture. This helps you quickly identify who is who in the shared item lists and in the Activity History, fostering a greater sense of team identity and accountability.

For an Online Retailer​

You regularly export professional PDF reports for your wholesale clients.

  • Action: You upload your company's logo to the Business Profile. Now, every PDF report you generate and send to a client automatically includes your brand logo, adding a professional touch and reinforcing your brand identity.

Can I be a user on multiple different business accounts?​

Yes! Maxilist's multi-account system is designed for this. You can be invited to and seamlessly switch between multiple business accounts as needed.

Does the business profile information show up for all my users?​

Yes. All users within a single business account will see the same business name and logo, ensuring brand consistency.

Can I manually change the business name for an account?​

Typically, only the account owner or an administrator has permission to change the business name and other profile settings.

Where does the user profile picture appear?​

Your profile picture appears in the user list, and in other parts of the app to help identify you to your team.
