Multi-Select

The Multi-Select custom field allows you to categorize and tag your items using a predefined list of options. Think of it as creating your own custom set of tags or attributes. For each option, you can assign a unique color, making it easy to identify an item's status or category at a glance.

This field is perfect for situations where an item can have multiple attributes simultaneously (e.g., a shirt can be both "Cotton" and "On Sale"). It enforces consistency by ensuring everyone on your team chooses from the same master list of options.

When to Use the Multi-Select Field

The Multi-Select field is one of the most flexible ways to organize your inventory.

Here are some powerful use cases:

  • Status Tracking:
    • For a repair shop: Needs Diagnosis, Awaiting Parts, In Repair, Ready for Pickup.
  • Product Attributes:
    • For electronics: WiFi Enabled, Bluetooth 5.0, 4K Display, Waterproof.
  • Categorization:
    • For a clothing store: New Arrival, Best Seller, Clearance, Online Exclusive.
  • Location or Aisle:
    • For a warehouse: Aisle 4, Section B, Top Shelf.
  • Task Management:
    • For team projects: Urgent, Needs Review, Client Approved.

How to Create or Edit a Multi-Select Field

Setting up a Multi-Select field involves two steps: creating the field itself, then adding your custom options.

Step 1: Create the Field

Follow instructions in the Custom Fields guide.

Step 2: Add and Customize Options

  1. After naming the field, you'll see an "Available Options" section.
  2. Tap Add Option.
  3. Enter the name for your first option (e.g., "New Arrival").
  4. Tap the color circle next to the name to assign a color that will represent this option.
  5. Repeat this process for all the options you need. For example:
    • Best Seller (Gold)
    • Clearance (Red)
    • Online Exclusive (Blue)
  6. Once you've added all your options, tap Done to create the field.

You can edit the name of the option later if needed.

How to Use the Multi-Select Field

Once added, the field will appear on the details screen for your items.

  1. Open an item within the collection.
  2. Find the new Multi-Select field you created.
  3. Tap on the field. A screen will pop up showing the list of options you created.
  4. Tap each option you want to apply. You can select one or many.
  5. The selected options will now appear on the item's detail screen as neat, colorful tags.

Tips and Best Practices

  • Master of Filtering: This field is incredibly powerful for filtering your inventory. You can easily create a view that shows all items tagged with "Urgent" and "Awaiting Parts."
  • At-a-Glance Insights: Use colors strategically. For example, use red for problems ("Needs Repair"), green for positive statuses ("Completed"), and blue for informational tags ("New Arrival"). This allows you to understand an item's state without even reading the text.
  • Plan Your Options: Before creating the field, think about the categories you'll need. A well-planned set of options is easier for your team to use and provides cleaner data for filtering and reports.

Properties of Multi-Select Fields

  • Maximum Selection

    • e.g., 2
    • Optional
    • This is the maximum number of options that can be selected. If not set, the field will allow any number of options to be selected.
  • Has Searchbar

    • e.g., ✅
    • Optional
    • If set, the field will have a search bar that allows you to filter the options. This is helpful when you have a large number of options.
