Exporting Data

Your data is yours, and Maxilist makes it easy to get it out of the app whenever you need it—for backups, for advanced analysis in a spreadsheet, or for creating professional reports.

You can export your entire inventory or just a filtered selection into several useful formats.


Understanding the Export Formats

First, let's look at the different file types you can export to. Choosing the right one depends on what you plan to do with the data.

  • CSV (Comma-Separated Values)

    • A simple, plain-text file that is universally compatible with almost any data software. Each value is separated by a comma.
    • Best for: Importing into other systems, custom databases, or for a raw data backup.
  • Spreadsheet (XLSX for Excel)

    • A fully-formatted spreadsheet file, just like you'd create in Microsoft Excel or Google Sheets. It preserves columns and data types.
    • Best for: Performing your own analysis, creating charts, using formulas, or sharing with an accountant.

How to Export Your Data

From Item Details Page

Simply tap on the Export button on top of screen to export the current item.

From the Collections Screen

The process is straightforward and takes just a few taps.

  1. Navigate to Collections or Scanner screen
  2. Tap on Bulk Edit button and select the items you want to export through any means such as searching, barcode scanning, filters, etc.
  3. Tap on the Export button on top of the screen.
  4. You will see a list of the available export formats (CSV, Spreadsheet). Tap on the one you want to create.
  5. The app will process your entire inventory and generate the export file. This might take a few moments if you have a very large inventory with thousands of items.
  6. Once the file is ready, your phone's standard file dialog will pop up. From here, you can save the file to your phone, email it to yourself, or share it with a colleague.
tip

Please note that standard export formats like CSV, XLSX, do not include your item images or file attachments. These exports are designed for the text and numerical data in your inventory.
