Search and Filtering
Finding the right item at the right time is the core of efficient inventory management. Maxilist provides a powerful suite of tools to help you locate exactly what you need in seconds, whether it's a single specific item or a group of items that meet certain criteria.
This guide covers the two main ways to find your data:
- Search: Perfect for when you know a piece of information about the item you're looking for (like a name, serial number, or barcode).
- Filtering: Ideal for when you need to see all items that share certain characteristics (like being low on stock, expiring soon, or belonging to a specific category).
The Global Search Bar
The Global Search Bar is your fastest route to a specific item. Located prominently at the top of the main screen, it searches across all your synced items and collections in real-time as you type.
Finding Anything, Instantly
- Navigate to the
Collectionsscreen. - Tap the Search Icon at the top of the app.
- Begin typing your query. This can be:
- An item's name (e.g., "Heavy Duty Screwdriver")
- A collection's name (e.g., "Power Tools")
- A value in any custom field (e.g., a serial number, a supplier name, a color).
- Results from your entire inventory will appear instantly below the search bar. Tap on a result to go directly to it.
You can restrict your search from the collection you are or from all items in your inventory by tapping the This Collection or Everywhere buttons.

For physical inventory, nothing is faster than scanning a barcode. The Global Search scanner turns your device into a powerful lookup tool.

Advanced Filtering
Filtering allows you to narrow down long lists of items to see only those that match specific conditions you define. It's like asking your inventory a detailed question, such as "Show me all laptops that are in stock and were purchased this year."

Does search and filtering work when I'm offline?
Yes. Both features work perfectly on all data that has been successfully synced to your device. You can find and filter your items even without an internet connection.
How do I know if a filter is currently active on my list?
When a filter is active, the Filter icon will typically change color or display a dot. Additionally, a message like "Filtered Results" may appear above your item list.
Can I search for text inside a filtered list?
Yes. You can apply a filter first to narrow down the list, and then use the search bar to perform a text search within those filtered results.
